How to manage your mailbox size

There are a number of ways to check and manage your mailbox quota.

Your mailbox size can be checked in a number of ways.

The IT Services self registration pages provide a detailed mailbox overview.

  1. Access the self registration pages
  2. Select Set, update or view Nexus mailbox settings
  3. Select your SSO
  4. Select Show email usage and quota

Display the mailbox's available space in Windows versions of Outlook.

  1. Right-click on Outlook's Status Bar (at the bottom of the Outlook application)
  2. Enable Quota Information
  3. Available space is displayed in the bottom left-hand corner

Display the mailbox's available space.

  1. Visit Outlook on the Web
  2. Select   >   General  >  Storage

Email quota issues are often due to large attachments.  To remove these attachments:

  1. Select the Search box within Outlook
  2. Select Has Attachments from the menu items
  3. Sort the list by message size
  4. Right-click on the attachments in the message and save them to your computer (if required)
  5. Then either:
    • Right-click on the attachment in the message and remove it
    • Delete the message

Enabling conversation view can allow superfluous mail in an email conversation to be deleted.

Outlook

  1. Navigate to the folder where conversation view is to be enabled
  2. Select View(Current View) > Show as Conversations
  3. Select Home > Delete or Clean Up > Clean Up Folder

New Outlook

  1. Select View > (Messages)Conversations > Group into conversations

In New Outlook the setting is applied to all folders.

 

Nexus 365 offers a searchable online archive for mailboxes approaching the quota limit.  The In-Place Archive allows messages to be archived manually or automatically using Outlook rules.
