How to use secure / hold print from staff PCs

Method 1 – Configure for individual print jobs

To send your print job now, but require a PIN / password before it actually prints:

  1. Prepare to print in your normal way (press Ctrl + P or select File > Print)
  2. Select the printer you wish to use (see further information below for details of which printers support this feature)
  3. Select Printer Properties or the equivalent button next to the printer selector (it may be called something like Properties or Preferences)
  4. On the Setup page set Job Type to Locked Print (Ricoh printers) or Secure Print (Xerox printers)
  5. Select Details and complete the User ID and Password (Ricoh printers) or Passcode (Xerox printers) fields. We recommend that you use your Oxford SSO for the User ID
  6. Select OK, set the remaining details for your printing as usual, and select Print

In step 4 you can select Hold Print to do exactly the same but without requiring a password. This can be useful if you want to insert special paper for printing on.

Method 2 – Configure as default printing preferences for future print jobs

  1. Choose Start  , type “print”, select Printers & scanners
  2. Select the printer you want to configure and choose Manage > Printing preferences
  3. On the Setup page set Job Type to Locked Print (Ricoh printers) or Secure Print (Xerox printers)
  4. Select Details and complete the User ID and Password (Ricoh printers) or Passcode (Xerox printers) fields. We recommend that you use your Oxford SSO for the User ID
  5. Select OK to apply these settings as the default for this printer in future

As above, you can also select Hold Print to do exactly the same but without requiring a password.

Release your printing

Ricoh printers:

  1. At the printer, press the Print Jobs  button then touch Locked Print Job List on the control panel
  2. Select the print job you want to release, press Print, enter the password you chose above, then press OK

Xerox printers:

  1. At the printer, press the Home button then touch Jobs > Secure Jobs on the control panel
  2. Select the print job you want to release, enter the passcode, then touch OK

Applications without “Printer Properties” button

Some applications do not display the Printer Properties or an equivalent button when you go to print. This includes applications using the “modern print dialog” in Windows 10 such as Microsoft Edge, Paint 3D, OneNote App for Windows 10.

You can still apply these features by using Method 2 to set the default printing preferences first. You can switch back to Normal Print afterwards if desired.
