Teams Phone Voicemail

Notice: Telephony replacement project

In response to BT switching off analogue lines between January 2026 and January 2027, the Telephony Replacement project is currently advising on and coordinating the replacement of centrally managed analogue and critical phone lines as well as managing the transition of Chorus VoIP (digital) lines to Microsoft Teams Phone (formerly referred to as Telephony over Teams at the University). Below are the options for the Teams Phone voicemail system.

  1. In Teams, select the three dots to the left of your Teams profile icon
  2. Select Settings
  3. From the left Settings list, select Calls
  4. On the main view (under the Personal heading) there is a section titled Manage voicemail
  5. Here there are options to Record a customised greeting or Set up text-to-speech customised greeting option. If a customised greeting is recorded, this will override any text-to-speech greeting set up
  6. To forward voicemail immediately, select the main Calls icon from the left of the view. At the bottom left of the view there is a small arrow next to the current setting, clicking on this will show a drop-down menu where Forward to voicemail can be set. To take this off select Don't forward
  1. In Teams, select the Calls icon from the left menu
  2. The main view will show a calls History heading with sections to the right to show All, Missed, Incoming, Outgoing and Voicemail
  3. Select the Voicemail option (from step 2), this will show a list of any voicemails that have been left
  4. Click on the voicemail in the list to select it
  5. On the right of the view this will show a Details view.  Here you can click on the Play icon to listen to the voicemail
  6. For personal assigned Teams Phone numbers, an email with an audio.mp3 file attachment will also be sent to your associated primary email address
  7. To delete a voicemail, hover over the voicemail and three small dots to the left of a 'Call' button will become visible
  8. Click on the three dots to show a dropdown list. From the list select Delete
  9. This will also delete the email. Alternatively, deleting the email from Outlook Web App will also delete the voicemail from the Teams client

The following examples show how to set voicemail on two role-based devices (Poly Edge E100, Poly CCX 400), also called Shared Area Phones, or Common Area Phones.

 

Poly Edge E100

  1. From the main screen, with the receiver on hook, click on the button with the screen label VM above it
  2. Using the down arrow on the central circular button, navigate to New option
  3. Click on the button with the screen label Connect above it
  4. This will call the Message Center main menu options, press 2 to change your personal greeting
  5. Choose option 1, record your person greeting, press # and choose option 1 to confirm

Poly CCX 400

  1. From the main screen, on the top left, click on the circular profile icon (to the left of the date, time and phone number)
  2. Press on Settings from the menu
  3. Under Nexus365 list press on Calling
  4. Under Voicemail press Change voicemail greetings
  5. This will call the Message Center main menu options
  6. Press More and then Dialpad, then choose option 1 and follow the voice instructions to record the greeting
  7. To forward calls straight to voicemail, follow steps 1-3 above then under incoming calls toggle on Display call forward on home-screen.  Then, on the bottom of the home screen, choose Forward to voicemail from the drop-down list.  To take this off, select Don't forward calls

The following examples show how to listen to or delete voicemail on two role-based devices (Poly Edge E100, Poly CCX 400), also called Shared Area Phones, or Common Area Phones.

 

Poly Edge E100

  1. From the main screen, with the receiver on hook, click on the button with the screen label VM above it
  2. Using the down arrow on the central circular button, navigate to New option
  3. Click on the button with the screen label Connect above it
  4. This will call the Message Center main menu options, press 1 to listen to your voicemail messages
  5. Choose option 1 to play the message
  6. To delete choose option 7

Poly CCX 400

  1. On the main screen, press the Voicemail icon
  2. If there are any messages the voicemail will show in the list with a Play icon, press this to listen to the voicemail
  3. To delete, press the Bin icon and confirm on the dialogue box to delete the voicemail
