How to use OneDrive for Business

OneDrive for Business is an integrated part of the Nexus365 service, allowing you to temporarily store your work files or share them with others.

Desktop

Expand All

  1. If not installed already, download and install OneDrive
  2. Windows: Select Windows Start menu , then type OneDrive
    macOS: Press cmd+space, then type OneDrive
  3. Select the OneDrive application
  4. Sign in with your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password

Microsoft provide further assistance for Windows and macOS.

  1. Access OneDrive
  2. Move or copy files from your computer to the destination folder
    or
    When editing files, save them directly to the destination folder

Share with specific people 

  1. Access OneDrive
  2. Navigate to the file or folder to share
  3. Right click on the item, then select   Share
  4. Provide details of the people to share the items with
  5. Select  , then update the required editing rights
  6. Select Send

Share with all Nexus365 users

  1. Access OneDrive
  2. Navigate to the appropriate folder
  3. Right click on the item, then select   Share  >    >  People in Nexus365
  4. Select the pencil icon  , then choose the required editing rights
  5. Select ApplyCopy link
  6. You can then paste the link and distribute it in the most suitable way

Share with everyone

The option to share files or folders with 'Anyone' is disabled in Nexus365

You can allow others to add files to folders within your OneDrive.

  1. Access OneDrive
  2. Navigate to a suitable location for an upload folder
  3. Right click in the folder, then select New  >  Folder
  4. Provide a suitable folder name
  5. Share the folder, including editing permissions

The desktop application does not display files shared with you, but shortcuts to shared folders can be added manually.

  1. Access the web version of OneDrive
  2. Select Shared > With you
  3. Select the folder to add
  4. Select Add shortcut to My files
  1. Access OneDrive
  2. Navigate to the shared file or folder
  3. Right click on the item
  4. Select Manage Access > Links
  5. Select for each link

Access inherited from higher folders is not displayed. If the status of the item's folder indicates that it is shared, you will need to also check access to its higher folders.

  2. Navigate to the shared file or folder
  3. Right click on the item, then select Manage Access > Links
  4. Select to show who can access the link, then X to remove individual access
    or
    Select to remove the link

If access is inherited from higher folders, sharing permissions on the higher folders will need to be updated.

Mobile

Expand All

  1. If not installed already, install OneDrive from your device's app store
  2. Launch the OneDrive app
  3. Sign in with your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password

Microsoft provide further assistance for mobile devices.

  1. Access OneDrive
  2. Select Files
  3. Navigate to the destination folder
  4. Select  +  > Upload
  5. Select the items to add

Share with specific people

  1. Access OneDrive
  2. Select Files
  3. Navigate to the appropriate folder
  4. For the item to share, select> Share
  5. Provide the details of people you are sharing the items with
  6. Select the pencil icon , then choose the required editing rights
  7. Select Send

Share with all Nexus365 users

  3. Navigate to the appropriate folder
  4. For the item to share, select> Share > > People in Nexus365
  5. Select the pencil icon , then choose the required editing rights

  7. You can then paste the link and distribute it in the most suitable way

Expand All

  1. Sign in to Office 365 using your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password
  2. From the top left corner, select > OneDrive

  2. Select My Files

  3. Navigate to the destination folder

  4. Select  Upload

  5. Select either Files or Folder

  6. Select the items to add

Share with specific people 

  1. Access OneDrive
  2. Select   My Files
  3. Navigate to the file or folder to share
  4. Next to the item, select ...  >  Share
  5. Provide details of the people to share the items with
  6. Select , then update the required editing rights
  7. Select Send

Share with all Nexus365 users

  1. Access OneDrive
  2. Select   My Files
  3. Navigate to the file or folder to share
  4. Next to the item, select ...  >  Share  >    >  People in Nexus365
  5. If required, update the editing rights in More settings
  6. Select Apply  >  Copy link
  7. You can then paste the link and distribute it in the most suitable way

Sharing report

You can also run a report to show your shared files and folders:

  1.  Access OneDrive
  2. Select    >  OneDrive Settings  >   More settings  >  Run sharing report
  3. Select the OneDrive folder to save the report to

  2. Select   My Files
  3. Navigate to the file to check
  4. Hover your cursor over the file to display a pop-up window
  5. Select the link displaying the number of times the file has been viewed

  2. Select    My Files
  3. Navigate to the shared file or folder

  4. Next to the item, select ...  >  Manage access  >  Links

  5. Select  to show who can access the link, then X to remove access
    or
    Select  to remove the link
